Unhappy With Your Licensing System? Here’s Where to Start
When talking to licensing teams across the country, the most common thing we hear isn’t about features or price. It’s this:
“We don’t like the system we’re on. We just don’t know where to start.”
If that sounds familiar, you’re in good company. Here’s a simple way to begin.
Why is replacing a software system so hard to start?
Because it touches everything. Applications, renewals, payments, inspections, and reporting often live in one aging system, plus a few (or more than a few) spreadsheets. Changing it feels risky, so it keeps getting pushed to next year.
The fix is to stop thinking about the whole project and start with one step.
Step 1: Write down what’s broken
Ask the people who use the system every day. Where do renewals get stuck? What still happens on paper? Which reports take hours? List the top five. This becomes your case for change.
Step 2: Map how a license moves today
Follow one license from application to approval to renewal. Note every handoff, manual step, and workaround. You’ll quickly see where time is lost.
Step 3: Define your must-haves
Most modern licensing teams need:
- Online applications and renewals
- Online payments
- Inspection and compliance tracking
- Continuing education tracking
- A self-service portal for licensees
- Reporting your board and auditors can trust
Keep the list short. Must-haves first, nice-to-haves later.
Step 4: Line up your people and budget
Who makes the decisions? Who funds it? When does your fiscal year start and your current contract end? Knowing these dates tells you when to act.
Step 5: Choose your path
You have three options: upgrade what you have, replace it, or move to the cloud. Ask every vendor the same questions so you can compare fairly.
What should I ask a licensing software vendor?
Start with these:
- Can licensees apply, renew, and pay online?
- Is it true cloud, or hosted legacy software?
- How does licensing connect to finance and accounting?
- How long does a typical implementation take?
- Who owns our data, and how do we get it out?
